Accommodation & Workspace
The ‘Wolfhouse venues’ ‘Wolfhouse destinations’ ‘Wolfhouse retreats’ are terms used by the Wolfhouse for describing venues and retreats. Wolfhouse venues include accommodation and workspace, communal areas or a meeting space. Our offer includes accommodation, working space, activities and other services, varying per package, venue and destination. Our packages do not include flights, cannot be used in advance or postponed.
The Client must pay a non-refundable deposit to confirm their commitment to pay for the accommodation and workspace. The Contract is made when Wolfhouse confirms the Booking Confirmation with details of the agreed venue and when the deposit receipt is issued.
Booking Wolfhouse® Venues
A 25% deposit of the total accommodation cost including taxes is required to make the reservation of accommodation. Once the booking has been processed, you will receive a reservation confirmation email with a Booking Summary, that outlines a summary of your booking. Please review the information carefully and contact us if you have any questions or require any changes.
Third Party Bookings
When you book with us your contract will be with the operator. The operator’s terms and conditions will apply to booking in addition to the relevant sections of these conditions.
Activities & Services
Wolfhouse is organising activities in collaboration with local businesses and its licensed partners. When you book an activity, you are signing a contract directly with the activity provider. The activity providers are the legal owners of the active products and responsible for the delivery of the services. Activity providers offering physical activities or sports will before the activity starts to provide safety instructions and guidelines. Some activity providers also require participants to sign a participation or waiver form.
Always make sure that the details in your travel documents are in accordance with your booking, and remember to bring the documents with you on your trip.
It is strongly recommended that you have a valid travel insurance that covers your loss of unforeseen circumstances or accidents; such as illness, family emergencies or other situations that may affect your travel plans.
The first selection of the activities happens during the booking process, however, this selection can be amended up to a week before the arrival.
The balance payment must be paid at least 48 hours prior to your arrival date to the Wolfhouse. The activity will not be provided, in case the payment is due at the time of activity.
Payments for Activities
The payment of the activities must be done latest one week prior to the Team’s arrival to the Wolfhouse.
The payment can be done via bank transfer or by card payment.
Modification of Activities
It is possible to change the activities up to one week before the arrival to the Wolfhouse. The change of the activities is subject to availability and some charges may apply depending on the selected activity.
The modification includes changing the amount of attending people or changing the type of the activity.
Cancellation of Activities
If you need to cancel an activity, contact Wolfhouse in a written form.
Cancellation until 14 days prior to the activity gives you a 100% refund
Cancellation later than 14 days prior to the activity is not refundable
If you need to cancel or modify an activity, contact the Wolfhouse in a written form.
Conduct During Team Retreats or Other Events
All participants and guests in the Wolfhouse, including invitees’ guests, must be approved by the Wolfhouse team through advance registration. We reserve the right to remove visitors who do not comply with the proper registration. No person may impersonate any person or entity, or falsely state or otherwise misrepresent your affiliation with a person or entity.
Aiding in gaining an unauthorized person access to the house is grounds for removal.
You must not defame, abuse, harass, harm or threaten others, make any bigoted, hateful, or racially offensive statements during your stay at the Wolfhouse. You may not advocate illegal activity or discuss illegal activities with the intent to commit them or cause injury or property damage to any person.
Until stated otherwise, services fall under same cancellation policies & conditions as conditions and cancellation policies of the team retreats and team building activities.
Booking of the services must be done latest one week prior to the arrival to the Wolfhouse.
Payment of Services
The balance payment must be paid at least 72 hours prior to your arrival date to the Wolfhouse. The activity will not be provided, in case the payment is due at the time of activity.
The payment can be done via bank transfer or by card payment.
Modification of Services
It is possible to change the activities up to one week before the arrival to the Wolfhouse. The change of the services is subject to availability and some charges may apply depending on the selected service.
If you need to amend or cancel a service, contact the Wolfhouse in a written form.
When you hire a catering service, you are signing a contract directly with the catering provider. The catering providers are the legal owners of the catering products and responsible for the delivery and quality of the services.
Sometimes it may be necessary to combine, on certain transfers, customers arriving or departing on more than one flight, which may require additional waiting time at your airport or accommodation. Our airport transfers can be contracted to a local agency. Please note departure times are 3hrs prior to your flight departure from your accommodation.
Requesting a Quote
After filling the web form or sending us an email, we will reply with the quote for your team retreat. Requesting a quote is completely free and has no strings attached. If the customer decides to accept the quote, we send additional information and start planning a trip to the selected destination.
Upon request, we assist with looking for the best flights for the team, at no additional cost.
Timing & Flights
During the booking process, we look for the most efficient solution for the team, the timing of the retreat based on team’s availability and availability of the Wolfhouse at selected dates or availability of other properties in partner locations, if the Wolfhouse is fully booked. We provide a recommendation for the best timing, which team has the option to accept or decline.
Booking Confirmation & Invoice
The booking of accommodation or a team retreat is considered confirmed when we receive a deposit payment and send a written confirmation of the reservation via email. Invoices are issued on booking confirmation and after payment of a deposit of 25%. The deposit is necessary to confirm the booking of accommodation and a team retreat. Full payment (the remaining 75%) is due 45 days prior to the arrival date.
We request flight information 2-3 weeks prior to team’s arrival.
We have to be aware of the team’s day and time of arrival to confirm bookings or any changes to confirmed date. If the team or some of its members arrive later than the confirmed date, they can still use the accommodation until the original checkout date.
The booking deposit is non-refundable and non-transferable, it is for the team retreats packages only and cannot be used separately for working space, team building activities or other services.
Third Party Bookings
When you book with us your contract will be with the operator (for whom we act as agent) and not us. The operator’s terms and conditions will apply to booking in addition to the relevant sections of these conditions. These third party terms and conditions can be found on each provider’s website.
Cancellations & Changes of Dates
The following conditions apply to cancellations and changes of booking:
Up to 45 Days: Deposit is held as cancellation
29 – 19 Days: 70% of the tour price is held as cancellation
18 – 7 Days: 80% of the tour price is held as cancellation
6 – 0 Days: 95% of the tour price is held as cancellation
Reduction of group size
Up to 45 Days: Free reduction of pax number (up to 20% of original group size)
45 – 0 Days: Cancellation policies apply (70-95% is held as cancellation for cancelled persons)
All cancellation and date change requests have to be made in writing, sent and confirmed by the Wolfhouse team (email@example.com) via email.
Minimum Group Size
The minimum amount of team members attending a team retreat at the Wolfhouse varies based on the selected destination. We reserve the right to change the minimum amount of team members depending on timing – season and Wolfhouse occupancy.
Maximum Group Size
We are providing accommodation for teams and groups of all sizes and can host teams from 5 to 550 people. However, there are some limitations to ensure maximum comfort of attending team members.
Length of stay
Length of stay at the Wolfhouse is not limited and depends on the current availability. To be able to provide the full experience of a team retreat at the Wolfhouse, we recommend minimum stay of 3 days. Contact us via email to learn about the availability of the Wolfhouse at your preferred destination for your preferred dates.
It is a team’s responsibility to ensure they are in possession of all necessary travel and health documents before departure tothe selected location. All costs incurred in obtaining such documentation must be paid by the team. We regret we cannot accept any liability if teams are refused entry onto any transport or into any country due to failure on their part to carry all required documentation. If failure to have any necessary travel or other documents result in fines, surcharges or other financial penalty or expenses being imposed on or incurred by us, teams will be responsible for reimbursing accordingly.
Passports & Visas
It is team’s responsibility to check all passport requirements with the relevant embassy. Teams should ensure that they have a valid passport for every member of the team and we would recommend that the passport is valid at least for 6 months after return.
Health & Insurance
We strongly recommend you to have a valid travel insurance that covers your loss for unforeseen circumstances or accidents; such as illness, family emergencies or other situations that may affect your travel plans.
Upon request, we can provide insurance through our partner ARAG for the approximate cost of 3€ per day per team member which covers medical (eg. hospital or transfer) costs in case of any accident.

Email marketing messages & subscription
Under the GDPR we use the consent lawful basis for anyone subscribing to our newsletter or marketing mailing list. We only collect certain data about you, as detailed in the “Processing of your personal data” above. Any email marketing messages we send are done so through an EMS, email marketing service provider. An EMS is a third party service provider of software/applications that allows marketers to send out email marketing campaigns to a list of users.
Email marketing messages that we send may contain tracking beacons / tracked clickable links or similar server technologies in order to track subscriber activity within email marketing messages. Where used, such marketing messages may record a range of data such as; times, dates, I.P addresses, opens, clicks, forwards, geographic and demographic data. Such data, within its limitations, will show the activity each subscriber made for that email campaign.
